Need a professional recording first?
Captive Audience Marketing provides professional voice talent, script assistance, multilingual recordings, and phone-system-ready audio.
Quick Answer
To upload a custom greeting to RingCentral, sign in to your account, open the appropriate Auto Attendant, IVR, voicemail, or call-handling settings, select a custom greeting, and choose the option to import an audio file.
Upload your WAV or MP3 recording, save the configuration, and place a test call to make sure the greeting and menu options work correctly.
RingCentral periodically updates its administrative interface, so some menu labels may vary slightly.
Before You Start
Make sure you have everything you need before changing your RingCentral greeting.
RingCentral Account Access
You may need administrator permissions to update company-wide Auto Attendant, IVR, call queue, or routing settings.
Your Finished Recording
Have your professionally recorded greeting, menu prompt, voicemail message, or other phone-system audio ready to upload.
A Compatible Audio File
RingCentral supports imported WAV and MP3 recordings. For telephone playback, a properly prepared mono WAV file is usually the best choice.
How to Upload Your RingCentral Greeting
1. Sign In to RingCentral
Sign in to your RingCentral account using an account with permission to manage the greeting or call flow you want to update.
2. Open Your Phone Settings
Navigate to the phone, company, or call-handling settings associated with your greeting.
Depending on your setup, this may include:
- Auto Attendant
- IVR
- Company Greeting
- Voicemail
- Call Queue
- After-Hours Greeting
- Custom Answering Rules
3. Select the Greeting You Want to Replace
Choose the greeting or prompt callers currently hear.
This may be your main company greeting, an Auto Attendant menu, an after-hours message, voicemail greeting, or another phone-system prompt.
4. Choose a Custom Greeting
Select the option to use a custom recording instead of RingCentral’s default or text-to-speech greeting.
If your professional recording has already been produced, choose the option to import or upload an existing audio file.
5. Upload Your Audio File
Select your WAV or MP3 file and allow RingCentral to finish processing the recording.
If a preview option is available, listen to the uploaded audio before continuing.
Make sure:
- The correct file was uploaded
- The message plays completely
- Voice volume is clear
- Menu options are correct
- There is no clipping or distortion
6. Save Your Changes
Save the new greeting and any related call-handling configuration.
Some RingCentral screens may require you to save both the greeting and the overall call rule.
7. Test the Live Phone System
Call your business number from an outside phone.
Listen to the entire greeting and test each applicable menu option.
Confirm that:
- The new greeting plays
- Menu selections match the recording
- Calls route to the correct departments
- Extensions work properly
- After-hours behavior is correct
- Voicemail goes to the intended destination
Uploading the recording is only part of the process. Always test the complete caller experience before considering the change finished.
What Greetings can be recorded?
Professional voice recordings can be used throughout your RingCentral phone system.
If Captive Audience Marketing produces your recording for RingCentral, we can provide the finished audio in a format designed for telephone playback.
Recommended Audio Format
For telephony audio, RingCentral recommends:
PCM WAV
8kHz sample rate
16-bit, Mono
G.711 / u-law WAV
8kHz sample rate
8-bit, Mono
RingCentral also supports MP3 files for imported Greetings
What Is the Difference Between Auto Attendant and IVR?
An Auto Attendant primarily greets callers and routes them to the correct person, department, or extension through a menu of options.
An Interactive Voice Response (IVR) system can perform more advanced interactions, such as collecting caller input, responding to keypad or spoken selections, retrieving information, and routing calls based on the caller’s response.
The terms are sometimes used interchangeably, but IVR generally refers to a more interactive automated phone system.
Why Use a Professional Voice for RingCentral?
Your automated phone system may be one of the first interactions a customer has with your business.
Professional voice talent gives your phone system:
- Consistent pronunciation
- Clear pacing
- Professional tone
- Better audio quality
- Consistent messaging across multiple prompts
Using the same voice throughout your Auto Attendant, IVR, voicemail, and other phone prompts creates a more polished and recognizable caller experience.
Troubleshooting RingCentral Audio
Why won't RingCentral accept my WAV file?
A .wav file can contain several different types of audio encoding.
If RingCentral rejects the file, the sample rate, codec, channel configuration, or other audio settings may not be compatible.
Try converting the file to an 8 kHz mono PCM or G.711 u-law WAV file.
Why does my recording sound different on the phone?
Telephone systems use a much narrower audio frequency range than websites, videos, or studio recordings.
That means even a high-quality studio recording will sound different after it passes through a business phone system.
Preparing the audio specifically for telephone playback helps maintain clear speech and appropriate volume.
Why is my old greeting still playing?
Make sure your changes were saved and that you updated the correct call flow.
RingCentral may use different greetings for:
- Business hours
- After hours
- Holidays
- Call queues
- Individual extensions
- Custom answering rules
Test the exact phone number and call path you modified.
Why don't the menu buttons match the recording?
The audio recording does not control RingCentral’s actual routing.
If your recording says:
“Press 1 for Sales”
RingCentral must also be configured so pressing 1 routes the caller to Sales.
Always verify that your spoken menu matches your RingCentral call-routing settings.
Can I upload my own greeting to RingCentral?
Yes. RingCentral allows custom recordings to be imported for supported greeting and phone-system settings.
What audio format should I use for RingCentral?
WAV and MP3 files are supported for many imported greetings. For phone-system playback, an 8 kHz mono WAV file is typically a strong choice.
Can I use a professional voice actor for RingCentral?
Yes. Professionally recorded audio can be uploaded to RingCentral in the same way as another compatible custom recording.
Can you record all of our RingCentral prompts in the same voice?
Yes. Using one professional voice across your Auto Attendant, IVR, voicemail, after-hours greetings, and other prompts creates a much more consistent caller experience.
Can you create multilingual RingCentral prompts?
Yes. Captive Audience Marketing can produce bilingual and multilingual phone-system recordings using professional voice talent.
Can you update an existing RingCentral greeting?
Yes. We can update individual prompts or produce a completely new set of recordings when your hours, departments, staff, services, routing, or other information changes.
Can you provide the correct audio format for RingCentral?
Yes. Let us know that the recording will be used with RingCentral and we can prepare the finished audio for telephone-system playback.
